Client case study · in use every day

CockPit, the management system of DKM Experts.

For DKM Experts, a multi-branch pest control and hygiene services company with crews on the road, HOSTA OS designed CockPit: one single system where there used to be one piece of software per department.

CockPit for DKM Experts, in detail

CockPit, the technicians’ weekly schedule (real screenshot, fictitious data)
CockPit, service report sent to the client (real screenshot, fictitious data)
CockPit, the technician’s “My route” screen on a phone (real screenshot, fictitious data)
The need
Requests, quotes, schedules and invoices scattered across several tools and spreadsheets.
What was built
Requests and quotes, route planning, the technicians’ app, service reports, invoicing, collections, portals for key accounts, AI agents on specific tasks.
What it makes possible
The report signed on site goes to the client and prepares the invoice; clients follow their sites without calling; reminders go out on time, reviewed by the team.
Status
In use every day, at the office and on the road.

Real CockPit screenshots, shown with fictitious data: no real client or employee appears.

Already running, built by us.

Systems in daily use at our clients. For each one: the need, what was built, what it makes possible. Photos are illustrations.

One job, from request to paid invoice.

Follow a request from Lemaire Bakery through six steps. At each action, see what changes next, and where AI does its part.

Lemaire BakeryJob D-2026-114New request

A request arrives by email

“Hello, we have seen signs of pests near the bakehouse. Could you come by this week? Mrs. Lemaire, 12 Market Street.”

AI reads the message, creates the client record, flags the request as “urgent” and suggests a time slot.

Where to start, depending on your situation.

Most of our clients start through just one of these doors. The other two follow once the first release has proven itself.

What repeats itself should no longer take up your time.

Quotes, reminders, invoices, schedules, reports: we connect your tools and automate the handoffs. Nothing to re-enter, nobody to retrain.

The whole system, from a single vendor.

From the client’s first call to the paid invoice, from the AI agent to the server it runs on: we write every building block and connect them all.

Software that fits your business. Not the other way around.

HOSTA OS designs and builds what your company cannot find off the shelf: its CRM, its ERP, its field app, its AI agents, its infrastructure. One system, yours, maintained over time by the people who wrote it.

For real estate, hospitality, restaurants, field services, manufacturing, logistics, healthcare, and your industry.

          • Access auditWho sees what, forgotten accounts, permissions that are too broad.
          • Backups and restoreEvery night, the backup is checked: complete and readable. Regularly, we restore it to a copy to prove it brings everything back.

          Visit before you travel.

A 360° virtual tour of your premises, job sites or properties: walk through them from a screen, drop markers, keep a record of their condition.

            A journey through time

From carved stone to artificial intelligence: fifteen eras, fifteen ways of running a business. In every era, the first to adopt the new tools got ahead.

            1. Stone carved with notches and pictograms, with a flint chisel

              30,000 BC

              Carved stone

Notches to count animals and days: the first memory kept outside the head.

            2. Clay tablet engraved with cuneiform signs and its stylus

              3300 BC

              Clay and cuneiform

In Sumer, merchants record on clay who owes what to whom. Accounting is born.

            3. Unrolled papyrus scroll, reed pen and cakes of black and red ink

              2500 BC

              Papyrus

Light, it rolls up and travels: Egypt runs its building sites and granaries on scrolls.

            4. Illuminated manuscript on parchment, goose quill and brass inkwell

              800

              Parchment and quill

In monasteries, scribes copy every page by hand. A single book takes months.

            5. Wood and brass screw printing press in an old workshop

              1450

              Gutenberg’s printing press

Screw press and movable type: a text is reproduced in a few days instead of a few months.

            6. 19th-century industrial rotary press, cylinders, gears and stacks of printed books

              1843

              Industrial printing

Rotary presses, cylinders and gears: newspapers and books roll out by the thousands, every day.

            7. Brass Morse telegraph key and receiver on a walnut base

              1844

              The telegraph

A message crosses the country in a few minutes. Prices and orders travel faster than goods.

            8. Antique wooden wall telephone with brass bells and crank

              1876

              The telephone

People stop writing and start calling: a decision gets made within the day.

            9. Black and gold typewriter from the 1900s on an oak desk

              1890

              The typewriter

Letters come out clean and legible, in duplicate thanks to carbon paper. The modern office is born.

            10. Mainframe computer room with cabinets and magnetic tape drives

              1951

              The mainframe

One machine fills an entire room and computes a company’s payroll overnight.

            11. Beige personal computer with a CRT screen on a light oak desk

              1981

              The personal computer

Every desk gets its computer. The spreadsheet replaces the general ledger.

            12. 1990s office: CRT screen, modem and phone cable

              1995

              The internet

Email and the website: the company opens its storefront to the whole world.

            13. Smartphone, mug and laptop on a light oak desk

              2007

              The smartphone and the cloud

The office fits in a pocket, the data in the cloud. Work happens from anywhere.

            14. Bright workspace, tablet and computer showing neural network patterns

              2023

              Artificial intelligence

AI reads, sorts, drafts and replies. As in every era, the first to adopt it get ahead.

            15. Light office with a laptop showing a dashboard

              Today

              Today: HOSTA OS

We build the tools of your era: custom-made, connected to each other, and you stay in control.

              Talk about your project

What people ask us before getting started.

How long until a first result?

After our call, a clickable mockup of the first release within a few days, then a first release in use within the first few weeks. The exact timeline is set together, release by release.

Will you replace our current software?

Only if it helps. Often, we connect what exists and replace what gets in the way, step by step, with no downtime.

Where is our data hosted, and where does the AI run?

Your data is hosted with a provider chosen with you. AI agents send a model provider only what the task requires; for each agent, we tell you which provider and what is shared with it.

And with no signal, in the field?

The app keeps everything on the phone: entries, photos, signatures. As soon as the network is back, it sends the data in order and flags any conflict instead of overwriting information.

            Who maintains the tool afterwards?

The team that built it: improvements, fixes and fast response, with no subcontractors.

Does the AI have access to everything?

No. Each agent has specific permissions on your data, and nothing goes out without human approval when you decide so.

            How much does it cost?

It depends on the scope. A budget is made up of development, data migration, onboarding, maintenance and any third-party services. Each release is priced before we start.

Thirty minutes. You leave with a plan.

Tell us what is holding you back. We tell you what we would build, in which order, and for how much.
